Reporting Policy
This Reporting Policy explains how Advanced Learning Online Education (“ALOE”) reports your completed continuing education (CE) hours to the Texas Department of Licensing and Regulation (TDLR), and what responsibilities you have as the license holder.
How ALOE Reports Your Course Completion
ALOE is responsible for reporting your completed CE hours to TDLR after you successfully finish an approved course. “Completion” means:
- You have viewed the required lesson content.
- You have passed any required quizzes or final exam.
- You have paid in full for the course.
Once all of these steps are complete, our learning platform marks your course as Completed and generates your certificate.
Reporting Timeframes
ALOE submits CE completions to TDLR using the official provider reporting system on the following schedule:
- Standard practice: Completions are reported within 24 hours of course completion.
- Weekends & holidays: Completions finished on Saturdays, Sundays, or on Texas state holidays are reported on the next business day.
- Regulatory requirement: In all cases, ALOE will submit your completion within the maximum timeframe required by TDLR (currently within 7 days of course completion).
Please note that after ALOE submits your completion, TDLR’s internal systems may take additional time to update your record.
Certificates & Recordkeeping
When you complete a course, you receive an instant downloadable certificate through our course platform. This certificate includes your name, license type, course title, provider name, and completion date.
- ALOE keeps electronic records of your completion and reporting status.
- You should save a copy of your certificate for your own records for at least two (2) years, in case TDLR audits your CE history.
Your Responsibilities as a Licensee
While ALOE is responsible for submitting your completion to TDLR, you—the license holder—are ultimately responsible for meeting all renewal requirements. This includes:
- Completing the correct number and type of CE hours required for your license (for example, the required sanitation and human trafficking topics where applicable).
- Making sure your license number, name, and contact information are entered correctly when you enroll.
- Keeping a copy of your certificate for your records for at least two (2) years.
- Submitting your license renewal application and paying any renewal fees directly to TDLR.
- Checking your TDLR record to confirm that your CE has been applied before your license expires.
Completing an ALOE course and having it reported to TDLR does not automatically renew your license. You must still complete the TDLR renewal process on your own.
If Your Completion Does Not Appear with TDLR
In most cases, your completion will appear in TDLR’s system within a short time after ALOE submits it. If you do not see your CE credited after a reasonable period:
- First, confirm that your course shows as Completed in your ALOE course account and that you have a certificate.
- Next, contact ALOE at info@aloelearn.com and include your full name, license number, course title, and completion date so we can review your record.
- If an error is found on our side, we will correct it and resubmit your completion to TDLR as quickly as possible.
If TDLR has questions or places a hold related to your license status, they may contact you directly. You are responsible for responding to TDLR and resolving any issues related to your license.
Changes to Reporting Requirements
TDLR rules and reporting requirements may change over time. ALOE will make a good-faith effort to keep our courses and reporting practices aligned with current regulations. When rules change, we may update this Reporting Policy and our course materials without prior notice.
